1. Who we are

This Privacy Policy explains how We Buy North collects, uses, discloses and protects personal information when you use the We Buy North website, apps and services. It is designed to comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Québec's Act respecting the protection of personal information in the private sector (as amended by Law 25) and other applicable provincial laws.

We Buy North has designated a person responsible for the protection of personal information (Privacy Officer), who can be reached through Help & Support at https://webuynorth.com/support.

2. Information we collect

Account information: username, email address, password (stored securely by our authentication provider), sign-in provider (Google or Apple), language, province or territory, city and postal code.

Content you provide: listings, photos, profiles, business information, job postings and applications (including résumés), community posts, messages, support requests and attachments.

Grocery information (opt-in): purchase details read from receipts, grocery lists, preferred stores, price alerts, reminders and assistant conversations.

Location: your postal code, and your approximate location only if you choose “Use my current location”; it is converted to a postal code and not tracked continuously.

Device and usage information: device and browser type, push notification subscription, pages viewed, and technical logs used for security and troubleshooting.

Payment information: handled by our payment processor; we receive only confirmation details, not your full card number.

3. Receipt photos

Receipt photos are sent once to be read by an automated system and are not stored after reading. Only the extracted purchase information (store, date, items, prices) is kept, privately in your account. Other members and our administrators cannot view your individual receipt history; administrators see only aggregated statistics.

4. How we use information

To create and manage your account; provide listings, messaging, jobs, real estate, community and grocery features; show content relevant to your region; provide personalized grocery deals, alerts, reminders, basket comparisons and assistant replies; send notifications you have allowed; process payments and memberships; respond to support requests; prevent fraud, abuse and security incidents; comply with legal obligations; and improve the Platform.

5. Automated processing and AI

Some features use automated systems, including artificial intelligence, for example to read receipts, translate listings, review job applications for employers, or power the grocery assistant. These systems do not make decisions that produce legal effects about you without human involvement. You may ask us about the personal information used and the main factors involved, and submit observations, through Help & Support.

6. Consent

We collect, use and disclose personal information with your consent, or as permitted or required by law. Optional features such as My North Grocery personalization, push notifications and marketing messages require your express opt-in, and you may withdraw consent at any time in your settings, subject to legal or contractual restrictions.

7. Sharing information

Information you publish (such as listings, public profiles and community posts) is visible to others. Messages are shared with the recipients. Job applications are shared with the employer you apply to.

We share information with service providers that help operate the Platform (hosting, databases, authentication, email and push delivery, maps, payment processing, AI processing), under contracts requiring them to protect it and use it only for our services. We may disclose information where required by law, to protect rights and safety, or in connection with a business transaction. We do not sell your personal information.

8. Transfers outside Québec and Canada

Some service providers may store or process information outside your province or outside Canada, including in the United States. Where required, we assess the privacy risks before such transfers and ensure appropriate contractual protections. Information held abroad may be subject to the laws of that jurisdiction.

9. Retention

We keep personal information only as long as necessary for the purposes described or as required by law. You may delete listings, grocery history, assistant conversations and notifications. When your account is closed, we delete or anonymize your information within a reasonable period, except where retention is required for legal, security or fraud-prevention purposes.

10. Security

We use reasonable administrative, technical and physical safeguards, including encryption in transit, access controls and row-level data security so members can only access their own private records. No system is completely secure; if a confidentiality incident presents a risk of serious harm, we will notify affected individuals and regulators as required by law.

11. Cookies and similar technologies

We use essential browser storage to keep you signed in, remember your language, province and preferences. We do not use third-party advertising trackers. You can clear browser storage at any time, which may sign you out.

12. Your rights

Subject to applicable law, you may request access to your personal information, correction of inaccurate information, withdrawal of consent, deletion or de-indexing, and, where applicable, portability of information you provided in a structured technological format. Submit requests through Help & Support; we will respond within 30 days. You may also file a complaint with the Office of the Privacy Commissioner of Canada or, in Québec, the Commission d’accès à l’information.

13. Children

The Platform is not directed at children under 14. We do not knowingly collect personal information from children under 14 without the consent of a parent or guardian.

14. Changes to this policy

We may update this Privacy Policy. The version number and date will change, and we will notify you of material changes through the Platform.
